Breaking Barriers is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, what we do with it and what rights you have over it.
It applies to this website and to everything else we do – our projects, performances, films, workshops, studio and events.

We are the “data controller” for the information described below, which means we decide how and why it is used.
The information we collect

When you book a ticket
Your name, email address, number of tickets, and any access requirements you tell us about.
When you take part in a project or workshop
Your name and contact details, emergency contact details, age or date of birth, access and dietary requirements, and any health or safeguarding information relevant to keeping you safe. For young people we also collect a parent or guardian’s contact details and consent.
When you are photographed, filmed or recorded
Photographs, video and audio recordings of you, along with your name and any story or contribution you share. See section 6.
When you hire or use the studio
Your name, organisation, contact details and booking information.
When you work with us
If you apply for a job, freelance role, board position or volunteering opportunity: your CV, work history, references, right-to-work documents and, where the role involves working with children or vulnerable adults, DBS check information.
When you visit this website
Your IP address, browser and device type, the pages you visit and how you arrived. This is collected through cookies and similar technologies – see our Cookie Policy.
Sensitive information
Some of the information above is “special category” data under UK data protection law and gets extra protection. We only collect it where we genuinely need to:
- Access requirements and health information – so we can make our work and our spaces usable for you, and so we can keep participants safe.
- Equality monitoring information (such as ethnicity, disability, gender identity, sexual orientation) – collected anonymously wherever possible, because our funders ask us to report on who our work reaches. Giving this is always optional and never affects your involvement.
- Safeguarding records – where we have a concern about the welfare of a child or adult at risk, we will record and, where necessary, share it. See section 5.
Why we use your information, and our legal basis

Where we rely on consent, you can withdraw it at any time – see section 10.
Children and young people
A lot of our work is made with children and young people, and we take that seriously.
- We collect information about young participants only with the consent of a parent or guardian, unless the young person is old enough to consent for themselves and it is appropriate for them to do so.
- We tell young people, in language they can understand, what we’re doing with their information.
- We do not knowingly collect information from children through this website. Our newsletter and online forms are intended for people aged 18 and over.
- Where we have a safeguarding concern, we will follow our Safeguarding Policy and share information with the relevant authorities – including without consent where a child or adult is at risk of harm.
Photography, film and audio recording
Our work is made of people’s faces, voices and stories, so this section matters.
- We ask for written consent before we photograph, film or record you, and separately from a parent or guardian for anyone under 18.
- The consent form tells you where the material may be used – for example on this website, on social media, in exhibitions, in funding reports, in press coverage or in broadcast.
- You can withdraw your consent at any time. Tell us and we will stop using the material going forward and remove it from anything we control, such as our website and social channels.
- We can’t always recall material that has already been published, broadcast, printed or distributed by a third party – for example a broadcaster, funder or news outlet. We’ll be honest with you about what can and can’t be undone.
- At public performances and events we may photograph or film general audience shots. We’ll signpost this at the venue, and if you’d rather not appear, speak to a member of the team.
Who we share your information with
We do not sell your information. We share it with:
- Service providers who help us operate – our website host, email provider, donation platform, mailing list provider and file storage.
- Funders and commissioners – such as Arts Council England, Greater Manchester Combined Authority, local authorities and trusts. This is almost always anonymised or aggregated. Where we need to share anything identifiable, we’ll tell you.
- Partner organisations – such as schools, youth services, venues and co-producers, where we’re delivering a project together.
- Freelance creatives and production crew working on the project you’re involved in.
- Professional advisers – accountants, insurers and legal advisers.
- Authorities – including the police, local authority safeguarding teams and HMRC, where we’re required to or where someone is at risk.
We put agreements in place with our service providers requiring them to protect your information and use it only on our instructions.
Where your information is held
We’re based in the UK and store information here wherever we can. Some of our providers process information outside the UK. Where that happens, we make sure it’s protected by legally recognised safeguards, such as UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
| Information | How long |
|---|---|
| Enquiries and general correspondence | 2 years from your last contact |
| Newsletter subscribers | Until you unsubscribe, then a suppression record so we don’t contact you again |
| Donation and Gift Aid records | 7 years (HMRC requirement) |
| Event and ticket bookings | 2 years |
| Participant records | Duration of the project plus 3 years |
| Safeguarding records | In line with our Safeguarding Policy – usually until the young person turns 25, or longer where required |
| Photography, film and audio consent forms | For as long as we hold and use the material |
| Recruitment records (unsuccessful) | 12 months |
| Staff, freelance and contractor records | 6 years after the working relationship ends |
When the time is up we securely delete or anonymise the information.
Your rights
Under UK data protection law you have the right to:
- Ask what we hold about you and get a copy
- Have mistakes corrected
- Ask us to delete information, in certain circumstances
- Ask us to restrict what we do with it, in certain circumstances
- Object to us using it, including for direct marketing – which we’ll always honour
- Ask for a portable copy where we hold it on the basis of consent or a contract
- Withdraw consent at any time, where consent is what we rely on
To exercise any of these, email us at hello@breakingbarriersrochdale.com. We’ll respond within one month. There’s no charge.
Keeping your information safe
We use password-protected and access-controlled systems, limit access to those who need it, and train our team on handling personal information. If something goes wrong and there’s a risk to you, we’ll tell you and report it to the ICO where we’re required to.
Cookies
